Marketing & Events Coordinator

Serve as the central hub for event operations and act as deputy to the Director of Marketing and Communications. Ensure professional planning and delivery of public and institutional events while supporting marketing and communications activities

Main activities

Event Management:

  • Plan and coordinate annual calendar of events (public events, lectures, and conferences);
  • manage guest and VIP logistics;
  • liaise with vendors;
  • create event materials;
  • oversee on-site execution;
  • track budgets;
  • ensure post-event follow-up.

 

Communications & Marketing:

  • Update website and newsletters;
  • manage social media;
  • support photo/video coverage;
  • assist with press releases and branding materials.

Requirements

Must have:

  • Bachelor’s degree;

  • at least five years of experience in event coordination, communications, or marketing;

  • excellent written and verbal communication skills in English and Italian;

  • Familiarity with social media platforms and scheduling tools (e.g. Airtable);

  • Experience with event registration or project management tools (Eventbrite, Qualtrics, etc);
  • Proficiency in Microsoft Office and Canva; creativity in event design, presentation, and promotion will also be an important asset in this role;

  • calm, solutions-oriented approach under pressure, especially during live events, and show professionalism and diplomacy when working with VIPs and diverse stakeholders. 

  • Success in this position requires a hands-on approach and adaptability, particularly during live events;

 

Nice to have:

  • Experience with Adobe Creative Suite;

  • familiarity with social media scheduling tools;

  • knowledge of event registration platforms;

  • basic video editing skills (iMovie, CapCut, Adobe Premiere, or similar).

  • The role involves some flexibility, with occasional evening or weekend hours to support events (approximately once per week), as well as the possibility of occasional travel or assistance with special events outside Bologna.
