In order to reinforce the local structure, we are looking for an





The role involves the executive and strategic support of all management needs from collaboration in process development to the proactive management of offices and agendas.


  • Organize the office layout and order stationery and equipment
  • Organize office operations and procedures
  • Schedule meetings and appointments
  • Provide general support to visitors
  • Partner with HR, IT and Administration Departments to update and maintain office policies and office equipments as necessary
  • Address employees queries regarding office management issues (e.g. stationery, hardware and travel arrangements)
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Assist in the onboarding process for new hires
  • Plan in-house or off-site activities, like parties, celebrations and conferences


  • 5+ proven experience as an Office Manager, Front Office Manager or Administrative/Personal Assistant in international high standing environments
  • Proficiency in MS Office (MS Excel, Power Point and MS Outlook, in particular)
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills, assertive
  • Strong organizational and planning skills in a fast-paced environment, straightforward
  • A creative mind with an ability to suggest improvements
  • High level of energy, strong sense of commitment, results drive
  • Full working proficiency in English is required
  • Bachelor’s degree is desirable


The position is based in Milan – Hybrid.
